Get ready for renewal: why preparation matters
Your care policy renewal is more than a date on the calendar. It’s a chance to make sure your cover still works for you. The run-up is just as important as the renewal itself.

Start early
Strong organisation and good timekeeping make all the difference. Begin preparations
around 90 days before your renewal date. This gives you time to share any changes
that could affect your premiums or policy terms, such as:
- Business activities
- Risk management procedures
- Recruitment policies
- Construction or architectural details
- Directors’ history (e.g. bankruptcies or convictions)
- Sums insured
Low CQC rating? Don’t panic
You’ll always need to disclose your current Care Quality Commission (CQC) rating. But
if it’s lower than expected, it’s not the end of the world. What matters is showing your
insurer that you have an action plan to address any areas flagged for improvement.
Keep accurate records
Clear records make renewal easier and reduce stress. Leaving documentation until the
last minute risks missing something important. Insurers also want evidence that you
have processes in place for:
- Risk assessments
- Staff training
- Care plans
- Compliance with the latest frameworks
Stay connected with your broker
Think of your broker as a partner, not just someone who appears when you make a claim. Regular communication throughout the year helps you stay prepared and ensures your organisation isn’t unknowingly underinsured.
Other changes to share
A lot can happen in a year. Keep your insurer informed about things such as:
- Address changes
Tell your broker before you move so they can complete building checks and avoid cover issues. - Business activity changes
If you’ve added new services, disclose them. Undisclosed activities could affect claims.
These aren’t the only changes that matter, but they’re common examples.
Pro tip: make renewal active
Renewal isn’t automatic; it’s your chance to check that your policy still meets your needs
and individual requirements. If things have changed during the year, it’s your chance to
review your cover and make any adjustments you think you may need.
